Day 17 – Assignment: Create a mailing station.
One of the things every office needs is a mailing station. You are more productive and free to focus on other things when you have your mailing supplies all in one place.
In Chelle’s pile of random bins and organizing things I saw a desktop file bin that she wasn’t using. It already had the hanging files January – December. I had the most amazing idea. We’ll make this bin a mailing bin!!
The mailing bin holds all of the greeting cards, postage, return address labels and addresses. Chelle had a printout of birthdays that we placed in the pretty file folder in the front. Now when she needed to mail a card she could go to her mailing bin and waahlaa!
Notice the labels don’t match perfectly. The pink ones were already there so I just made the white one with my label maker. If that bugs you fix it later.
Then, we turned the mailing bin into a mailing station! We set it on Chelle’s built in desk in her office and put envelopes and blank cards on the shelf above it. LABEL whenever possible. We labeled the shelf Envelopes and now she has a complete MAILING STATION.
Need a stamp? You know just where it goes. Find a fun birthday card for your mom who’s birthday is in November? Drop it in your November file. Have a leftover Christmas card? Drop it in December. Have some fun Valentine stickers? Drop them in February. Ripped a return address label off of a Christmas card because your friends moved? Drop it in the Addresses folder.
One of my clients and I used what she had (a pink accordion file) and created a card file. First we sorted all of her cards from random baskets around the house by category. We recycled any card that didn’t have an envelope and any envelope that didn’t have a card. Now she will know what she has and be able to find a card when she needs it because they are all in one place and organized by event or holiday.
Have fun with this. The best part is knowing there is no right or wrong way. Put together something that fits with the way you think. Keep it simple by using a product that you already have.
